ROLE

Job Purpose

To assist the Transport Manager to organise and coordinate the activities of the Transport Department, carrying out all the required admin to ensure compliance with all current laws and regulations, communicating and supervising Drivers, liaising with Despatch.

Responsibilities:

• To assist the Transport Manager to prepare the Run Sheet, amend as and when customers come on and to meet the requirements of production
• To arranging deliveries by liaising with drivers and customers and booking in when necessary
• Obtain cost estimates for repairs
• Establish standards of maintenance and preventative maintenance
• Maintain all necessary records for vehicles for legal compliance
• Ensuring that at all times we are complying with relevant laws and regulations
• Inspect all vehicles on a regular basis to determine that high standards of cleanliness, safety and security are maintained.
• Communicate with Agency that provide drivers on daily basis keeping them updated and advising of changes in delivery times and routes
• Deal with agency drivers as and when required
• To provide induction training to all drivers and ensure that driver CPC's are checked and kept up to date
• Maintain driver records, schedule eye tests and medicals where necessary
• Check driver logs and mileage sheets, prepare year end mileage Reports
• Schedule, allot time and assign driver personnel
• Ensuring appropriate vehicles are used for the driver runs
• Forward Invoices to the accounts department for payment
• To ensure that Company HGV's are serviced every 6 weeks
• To ensure that calibration of fridges is carried out annually
• Maintaining records of Driver Run Sheets
• To handle processes involved in a supply chain, liaising with a variety of parties including suppliers, production, and customers.
• Liaising with customers regard to return of goods
• Liaising with our sister Company
• Sourcing and working with outside transport Companies
• Monitoring the quality, quantity, cost and efficiency of the movement and storage of goods
• Analysing data to monitor performance and plan improvements and demand
• Respond to and investigate accidents involving our vehicles
• Respond to and investigate complaints from other road users/members of the public
• Schedule and organise hire vehicles
• Investigate and effectively resolve employee conduct problems
• Perform other duties as assigned
• Cover the Transport manager during annual leave/sickness

CANDIDATE

ESSENTIAL

• Two years’ experience in transport industry
• Valid Driving Licence
• Knowledge of Laws and regulations relating to transport and vehicles
• Safety practices and procedures applicable to transport
• Develop working relationship with the team
• Carry out written and oral instructions
• Prepare and present oral and written reports
• Assist and provide direction to Drivers as it relates to personal issues and concerns
• Excellent interpersonal and communication skills-both verbal and written
• High degree of computer literacy and numerical skills and competent user of all Microsoft applications in particular MS Excel
• A flexible and enthusiastic individual able to work under pressure, prioritise workload and use own initiative
• To be reliable and demonstrate a great eye for detail
• Outstanding organisational skills.
• Maintain regular consistent and professional attendance, punctuality, personal appearance
• Ability to form good working relationships with all staff and Managers
• Ability to work alone

Qualifications
• Self-discipline and the ability to multi-task
• Plenty of team spirit and an enthusiastic attitude to work
• FMCG experience
