Sales Administrator

The role:
To take customer orders by phone, fax and email. To record orders and put them onto our software. To acknowledge orders and to keep these up to date when receiving amendments or additions to the orders. To liaise with other members of the Sales Team and Production to keep them updated at all times. You will be point of contact for customers with queries about products, orders and deliveries and provide support to the sales team.

Key Responsibities:

• Dealing with and responding to high volume of emails
• Processing orders via email or phone
• Checking orders for data processing including order number, price, delivery date, delivery address, product description against our system
• Producing Delivery Notes
• Contacting customers to obtain missing information or answer queries
• Taking phone calls from customers
• Maintain and update sales and customer records
• To communicate with production by phone and hand held portable two-way radio
• To ensure customer satisfaction at all times
• Stay up to date with new products
• Booking transport onto third party hauliers
• To attend training and to develop knowledge, techniques and skills
• To answer multi-line switchboard quickly and direct calls to their destination without delay
• Log information on calls and maintain rapid response to agreed standards
• File data and perform other routine clerical tasks
• Operate standard office machines including computer, variety of software, printer, phone, fax, calculator and photocopy machine
• To communicate and liaise verbally and in writing between customers, suppliers, visitors, enquires and relevant staff, interpret and respond clearly and effectively to spoken requests over the phone or in person, and to take verbal or written instructions
• Establish and maintain effective working relationships with co-workers, and supervisors
• To perform duties in efficient, professional and courteous manner
• Monitoring the return or rejected products from customers

Ideal candidate:

• Experience in Sales Administration role, ideally within manufacturing
• Good knowledge of customer service
• High organisational skills
• Strong communication skills
• Plan and prioritise your work load
• Well versed in IT skills use of Microsoft Office Suite (MS Excel in particular)
• Have attention to detail
• Ability to form good working relationships with all staff and Managers
