Position: Administrator
Reports to: Executive PA
Principal purpose of the role:
? To provide generalist administrative support to key functions located at Headquarters in Edinburgh.
? Provide key support to Edinburgh Office Manager/Executive PA.
? Provide administrative support to support European Leadership
Main accountabilities:
1. Provide full admin support to European Leadership Team, as well as other key functions in the Edinburgh office. Duties such as Inductions plans for new starts, PowerPoint, setting up all meetings etc.
2. Manage diary and travel requirements for European Function heads (6 Directors).
3. Support Exec PA as and when required.
4. Provide reception cover during lunch breaks and holidays – carrying out reception duties as when required.
5. Raising Purchase Orders for teams. Raising BACS requests.
6. Updating TMS and Holiday spreadsheets.
7. Meeting room and diary management. Setting up all meeting room refreshments and organising lunches.
8. Facilitate visitors, VIP’s and seating arrangements during busy times.
9. Travel management for Directors and their teams, booking via one-line portal and our travel management company.
10. Assist other teams with admin support as and when required.
Other:
1. Assist with the Company Charity Committee.
2. Minute taker at Edinburgh Committee.
3. First Aid & Mental Health First Aider.
Skills:
1. Organisational & Time Management: Efficiently managing multiple tasks, prioritising work, and meeting deadlines.
2. Communication: Strong verbal and written skills for clear interaction with colleagues and visitors.
3. Technical Proficiency: Familiarity with microsoft office software and outlook.
4. Problem-Solving: Quick identification of issues and practical solutions.
5. Attention to Detail: Ensuring accuracy in all tasks and documentation.
6. Interpersonal Skills: Building positive relationships and handling difficult situations diplomatically.

Experience:
1. Administrative Background: Experience in a similar role, managing calendars, travel, and office supplies.
2. Record Keeping: Experience of keeping accurate records.
3. Event Planning: Organising meetings, events, or conferences.

Based full time at prestigious EH2 address
Working hours – Monday to Thursday 08.30 – 17.00 – 30-minute lunch break. Friday 08.30 – 14.00 no break.
No hybrid working 5 days a week in the office
Salary: £25K – 27K depending on experience
